Planned Maintenance and Compliance Module

The checks happen. The evidence usually doesn't.

Keeps required work on schedule and compliance evidence ready. Planned maintenance schedules that automatically generate the required work. Technicians complete a structured checklist for each asset, while photographs, readings, findings, actions and approvals are captured as part of the process. The result is a complete, audit-ready record without separate evidence gathering.

The challenge
Recurring safety and compliance checks must be completed across many buildings and assets.
What it costs you
Work orders and evidence are managed manually, leaving managers without a reliable, immediate record of what was completed, where and when.
What changes in weeks
Work orders are generated automatically, with photographs, readings, findings and approvals captured as a structured byproduct of execution.
Somebody signs for these

The check happened. Gathering the evidence is its own job.

Fire doors, emergency lighting, legionella, gas, elevators, extinguishers. Somebody signs for these.

That person is not measured on efficiency. They are measured on one thing: whether the evidence exists on the day somebody asks for it. Which is why this is a different budget, harder to cut, and rarely postponed to next quarter.

The work
  • Fire doors inspected on schedule
  • Emergency lighting tested
  • Legionella check completed
  • Elevator inspection carried out
The evidence
  • ? Photos on a personal phone
  • ? A checklist in a drawer
  • ? A spreadsheet showing it was scheduled
  • ? No record that it actually happened

In most operations the work genuinely gets done. What is missing is the proof: photographs on a personal phone, a checklist in a drawer, a spreadsheet showing that something was scheduled but not that it happened. When an inspector, an insurer or an owner asks, somebody spends the best part of a week assembling it.

The failure is not maintenance. It is record-keeping done as an afterthought by people who were busy doing the actual work.
FixMate handles every recurrence after one definition

Set the maintenance schedule once. The module generates the required work automatically.

Define what must recur, where, how often, using which checklist, and who is responsible. FixMate keeps every future obligation visible and generates the near-term work automatically. One recurring definition covering six rooftop units produces one monthly round containing six separate records, one per asset, each with its own outcome and evidence.

Findings do not disappear into a report. An obstructed filter becomes a corrective job in the queue, linked to the inspection that identified it and tracked until the corrective work is verified.
The technician's day

Planned work is ranked by urgency and coordinated with the daily schedule.

  • Work is presented in an automatically urgency-ranked queue
  • A Work Item may be opened from the queue or through an Area or Asset QR code
  • Checklist responses autosave and progress is calculated automatically
  • Required unanswered fields block completion

Supported response types include instructions, confirmations, inspection outcomes, readings, text and photo or file evidence. Planned visit dates may move inside the execution window without changing compliance, and deadline deferral requires manager permission and a reason.

Critical is set by a person

Critical is a manager-set designation with a recorded consequence if the task is missed. The reason travels with the work, so whoever picks it up knows what is at stake.

Urgency is calculated

Urgency is calculated automatically from deadline pressure, progress, overdue time, findings and blockers. It ranks what needs attention next and explains the contributing reasons.

No separate evidence gathering after the work is done

Evidence as a by-product of doing the work.

No extra paperwork. Each job opens the correct digital checklist for that asset. The evidence is what the technician was already doing, captured as it happens: who, when, checklist responses, readings, photographs, findings and actions.

Every finding requires a clear outcome: fixed during the inspection, linked to a corrective job, or left without action for a recorded reason.

The latest checklist, readings and findings show the current condition of the asset.
Completion and approval

Completion and approval remain separate, even when the same person performs both.

Once approved, the complete record is available as an inspection PDF.

Reporting shows both schedule compliance for complete rounds and inspection coverage for individual assets, so partial completion never appears complete.
