Coordination Agent Module

The maintenance front door never closes.

Coordinates intake, diagnosis, dispatch and follow-up in one automated workflow. An agent that responds to incoming requests, asks the right diagnostic questions in the tenant's language, separates urgent issues from routine ones, resolves what does not require a visit, and gives the technician a clear brief with the relevant history, photographs, access details and likely cause. It follows up when someone stops responding and confirms that the problem was properly fixed.

Without coordination

A poorly handled request gets more expensive at every step.

A resident reports water leaking from behind the washing machine at 7:40 p.m. Nobody responds until morning. The initial description does not contain enough information to identify the cause, and the process provides no structured way to collect diagnostic answers or a photograph. To get the request moving quickly, a coordinator assigns a plumber.

On arrival, the plumber discovers a split internal hose in the washing machine, not the drainage fault they expected. A different technician and another appointment are required. After the second visit, the technician marks the job complete, but the resident is never asked to confirm that the problem was resolved and the repair held.

One routine request has now created the wrong dispatch, two visits, several rounds of coordination, a slower repair and a dissatisfied resident.

Skilled coordinators spend their time requesting missing details, assessing urgency, arranging access, dispatching contractors and following up. Much of this process is repetitive, but every missed step adds time, cost and uncertainty.

Residents experience maintenance through response time, communication and whether the problem is resolved. Owners see the same performance in complaints, repeat visits, SLA results and operating cost.

Resident conversation · 19:42, Friday No human involved
Water's leaking from behind the washing machine. Probably a blocked drain?
19:42 · Resident
Does it leak only while it's draining, or also at other times?
19:42 · FixMate Coordination Agent
Only during the drain cycle, yes.
19:43 · Resident
Could you check the hose at the back, where it connects to the machine, for a crack or split?
19:43 · FixMate Coordination Agent
Yes, actually, it's cracked right where it connects.

Appliance technician, not plumber

Instantly. At any hour. In any language. It asks the questions an experienced coordinator would ask, and it never has a bad day.

Dangerous situations never depend on a model's judgment. Gas leaks, flooding, fire, electrical hazards or anyone trapped follow hard rules and escalate immediately to a person. Every time.

And a real share of what arrives never needs a visit at all. A tripped breaker, a blocked filter, a reset or a question already answered elsewhere in the building. Focused questions also distinguish genuine after-hours emergencies from problems that can safely wait for regular service hours.

Reviewing hundreds of cases and more than three thousand responses, the UK Housing Ombudsman traced repeated repair failures to poor diagnosis, delays and an absence of records on the property. Every one of those begins at the front door.

Every request resolved at intake is a visit you do not pay for. Every issue safely scheduled for regular service hours is an emergency service call you avoid.

FixMate follows up consistently with contractors who have not confirmed, residents who have not provided access and jobs that have stalled. Routine follow-up no longer depends on a coordinator remembering every open thread.

Two earlier faults on this same asset were minor and unrelated to the hose. Seeing them together is what turns three separate visits into one recognizable pattern.

Completion is reported. Resolution is verified. FixMate checks the completion photograph and evidence against the original request, asks the resident to confirm where direct contact is available and follows up later when the type of repair warrants it. If the same asset fails again, the recurrence is linked automatically to the repair that was meant to resolve it.

Where the human stays

Two operating modes

When a request starts in FixMate, the agent handles the resident conversation and everything that follows. When a request is forwarded from another system, everything after intake runs the same way; only the resident conversation remains in the original system.

You set how far it goes

FixMate can propose every action for approval, act on routine steps and ask about the rest, or run the workflow and escalate only exceptions. Safety-critical decisions always stay with people.
